Documents to meet conditions issued after deadline

Will the documents required to meet your admission conditions be issued after the stipulated deadline?  See the steps to take depending on your situation.

Steps to take

Have you been admitted on condition of submitting specific academic records before the start date of your studies (1 September or 1 February)? And will you meet all requirements on time but the requested academic records will only be issued later? Take the following steps: 

Before the start date of your studies (1 September or 1 February):

  • Submit all other items to meet your admission conditions (if applicable).
  • Make sure Leiden University receives both the following items, sent directly by your home institution via one of the permitted sending methods:

Will the diploma or language test result required for admission only be issued after the residence permit deadline (1 June)? Take the following steps: 

Before residence permit deadline (1 June):

  • Submit all other items to meet your admission conditions (if applicable).
  • In the uSis visa portal, upload all available items for your residence permit application and pay the residence permit fee.
  • In the uSis visa portal, also upload a personal statement explaining which items are late, why, and when you can provide them.

Before 1 August: 

  • Make sure Leiden University receives the missing diploma or language test result *.
    *Exception: UK A-level results can be submitted later in August, as soon as they are released.  

Final diploma issued even later? 

Will the diploma or language test result required for admission only be issued after the residence permit deadline (1 June or 1 December)? Take the following steps: 

Before residence permit deadline (1 June or 1 December):

By 1 August (September starts) or 15 January (February start):

  • Make sure Leiden University receives the missing language test result and academic records.

Final diploma issued even later? 

Will the diploma or language test result required for admission only be issued after the visa/residence permit deadline (1 June)? Take the following steps: 

Before visa/residence permit deadline (1 June):

  • Submit all other items to meet your admission conditions (if applicable).
  • In the uSis visa portal, upload all available items for your visa and residence permit application and pay the visa/residence permit fee.
  • In the uSis visa portal, also upload a personal statement explaining which items are late, why, and when you can provide them.

Before 6 July: 

  • Make sure we receive the missing language test result and academic records*.
    *IB students: we will verify your results after they are released on (or shortly after) 6 July. This will be in time to meet this deadline. 

Final diploma issued even later? 

Will the diploma or language test result required for admission only be issued after the visa/residence permit deadline (1 June or 1 December)? Take the following steps: 

Before visa/residence permit deadline (1 June or 1 December):

  • Submit all other items to meet your admission conditions (if applicable).
  • In the uSis visa portal, upload all available items for your visa and residence permit application and pay the visa/residence permit fee.
  • In the uSis visa portal, also upload a personal statement explaining which items are late, why, and when you can provide them.

Before 6 July (September start) / 6 December (February start):

Make sure Leiden University receives:

  • Your language test result (if applicable)
  • Proof of anticipated graduation - see below.

Proof of anticipated graduation

The following can be accepted as proof of anticipated graduation: 

Chinese academic records
Upload verification reports of your ‘transcript to date' and ‘student record report’ in Chinese and English in the uSis application portal under ‘other documents’.

All other academic records
Instruct your home institution to send the following items directly to Leiden University via one of the permitted sending methods:

  • A certified copy of your most recent transcript, and
  • A statement confirming your predicted grades and expected graduation date (which must be before the start date of your studies).

Before the start date of your studies: 

  • Make sure Leiden University receives the missing final academic record.

Visa/residence permit on condition of timely graduation

Leiden University can request your visa and residence permit on the basis of your proof of anticipated graduation. However, please be aware that if you fail to graduate on time, we will be obliged to cancel your visa and residence permit without refund of the visa/residence permit fee.
