Procedure during the exams
Instructions during the exam
- Language of the exam: English
- Students who arrive more than 30 minutes after the exam starts are not allowed to start the exam. They can contact the Board of Examiners.
- Students are not allowed to hand in the exam or use the bathroom for the first 45 minutes.

All students present must be checked off the attendance list.

Dictionary:
-Students are allowed to use translation dictionaries (not explanatory dictionaries). They are not allowed to borrow or lend dictionaries;
- All dictionaries must be checked for markings;
-Students need to hand in everything - including paper used for notes and drafts;
- Students are allowed to eat and drink during the exam (except in Wijnhaven: just water allowed)
- All exams and evaluation papers must be collected to designated envelopes;
- After the exam, the tutors will take all papers to the administration.
Fraud
Considered to be fraud during exams is when a student:
- Opens the exam papers before the exam has started;
- Is using a mobile phone or another electronic device;
- Is using notes or texts (other than the exam papers);
- Is looking at another student’s exam papers;
- Is communicating with other students (in written form, verbally or through body language);
- Leaves the exam room unsupervised, and returns to continue the exam;
- Deliberately shows his/her answers to other students;
In addition,
- Students are not allowed to leave the room, not even to use the bathroom, during the first 45 minutes after the start of the exam.
- Students have to hand in their exam and sign the attendance list before leaving the room.
Protocol suspicion of fraud during exams
1. Confiscate any evidence, but not the exam papers.
2. Inform another staff member present.
3. Confront the student (or students) with the other staff member present:
a. Have the student put their name, student number and signature on the evidence (dictionary, crib sheet, other).
b. Inform the student(s) that they are suspected of fraud.
c. Tell the student that their case is referred to the examination committee (Board of Examiners).
d. Tell them they can finish the exam.
e. Fill out the form “suspicion of fraud” (should be present at the exam). Give them the student copy.
f. Do not engage in any discussion with the student. If they refuse to sign the evidence, leave it at that.
4. Write down what you saw as soon as you can.
5. Report the case to the examination committee as detailed as possible in an email, and send them (a scan of) the evidence: (bais-examinationscommittee@hum.leidenuniv.nl)
6. When the student submits his/her exam, add a note to the exam papers telling the person grading the exams that they will be contacted by the examination committee on whether this particular student (or students)’s exam should or should not be graded.
7. The committee may call you in as an eye witness during one of their meetings.
